Registrar for the Headquarters Document Management Department
The Headquarters Document Management Department (HKV DokhA) is now seeking a registrar for the Headquarters expedition Tre Vapen, who wants to play a central role in the Swedish Armed Forces' document management. The department's task is to support the Armed Forces Headquarters in its governmental duties with continuous document and case management, tasked with reporting, managing, and making public documents accessible today, tomorrow, and over time. The Armed Forces' document management encompasses all handling of public documents regardless of format and confidentiality level throughout the entire readiness spectrum peace-crisis-war, both nationally and internationally. The department is also responsible for booking and conducting personnel transport.
HKV DokhA consists of a department divided into six sections; Archive, Expedition L24, Expedition Tre Vapen, Expedition V117, International expedition, and Transport section.
About the position
As a registrar at the Armed Forces Headquarters, you will play a central role in our document management. You will handle incoming and outgoing documents, ensure they are managed correctly, and ensure that the right information is in the right place at the right time. You will help ensure that our processes comply with applicable laws and regulations and that sensitive information is handled correctly. You will provide support and service to case officers in document management issues and staff our internal customer service desk. In addition, you will handle inquiries from the public and work with other tasks within the department.
Main responsibilities
- Registration and filing of incoming and outgoing documents
- Ensure that documents are handled in accordance with the Public Access to Information and Secrecy Act
- Work with some archiving
- Participate in the development of routines and processes for document management
REQUIREMENTS
Qualifications
- Approved upper secondary education
- Current and relevant experience working as a registrar or in administration that the employer deems equivalent from a larger organization, preferably a government agency
- Very good computer skills within the Office package
- Very good ability to express yourself verbally and in writing in Swedish and English
- Driving license B

MERITORIOUS
- Education in archive or document management
- Relevant experience in document management

Employment type: Permanent employment. The Armed Forces applies a six-month probationary period for those who are not employed by the authority. This is a civilian position.

Travel in service occurs, mainly within Sweden.

At the Headquarters, there is the Chief of Defense and the Director General. The Headquarters has approximately 1,000 employees – both professional officers and civilian experts. As of 2023-01-01, the Headquarters consists of the Defense Staff, Operations Management, Military Intelligence and Security Service, as well as the Headquarters' Staff Department and independent supervisory units.
Employment with us means placement in a security class. Usually, Swedish citizenship is required. A security clearance with a background check will be conducted before employment according to Chapter 3 of the Security Protection Act. Employment also includes an obligation to be placed in wartime. The implications of this vary depending on the type of position.
